The Lumber and Building Materials Association of Ontario has identified the following areas of concern in relation to PIPEDA.

• Collection and security of Credit Card Information from private individuals.
• Collection of data through web and internet communication.
• Collection and security of data relating to employees in respect to remuneration, job performance, leave and personal information.

4) Designation of an employee of the LBMAO as the Privacy Officer for the   Association.

To ensure compliance and incorporating due diligence, the LBMAO’s policy for collection and the securing of data in relation to those areas identified above are:

CREDIT CARD SECURITY

The Association receives payment for services and training programs by cash, cheque and credit card. In most cases, the payment by cash or cheque is from businesses. However, credit cards are used by individuals for payment for services and programs and usually are reimbursed by the individuals company. To ensure the security of the person’s credit card information, the LBMAO enforces the following procedures for collection and storage of credit card information:

1) The Association collects individual’s credit card information on order forms, program registrations and payment of invoices. Type of Credit card, card number, Card Holder Name and Signature are the normal data collected.

2) Upon receipt of this information, the Accounting Administrator processes the information with the credit card carrier.

3) After processing of the credit card charge, a receipt is e-mailed to the cardholder by the credit card processor, with a copy to the Accounting Administrator at the LBMAO.

4) All credit card information is stored in a secured area accessed only by the Accounting Administrator and the LBMAO President.

To improve services, the Company tracks and observes the pages and websites that visitors browse to better understand traffic and trends through different areas of the site. The purpose is to understand and better align our web presence with our clients’ demand.

EMPLOYEE DATA

The LBMAO recognizes the importance of securing all relevant data on employees for the purpose of employment remuneration and job performance as well as the collection of tax and other related employment deductions is of a personal nature and required to be handled in a discreet and secure manner. All information collected by the management of the Association for employment purposes is stored in the following manner:

1) Information relating to employee performance, remuneration, resumes’, leave, etc. is kept in a locked file cabinet in the LBMAO Presidents office accessed only by the LBMAO President.

2) Hard copy Payroll information and reports required to process employees payroll is kept in a secure area  and accessed only by the Accounting Administrator, LBMAO Accountant or the LBMAO President.

3) Electronic communication of payroll information to the LBMAO payroll direct deposit carrier is processed via secure encryption by the LBMAO Accounting Administrator, LBMAO President and on occasion the LBMAO Accountant.
